How We Work

The Almsgate Methodology

Every Almsgate service follows the same underlying principle: clerical first, referral second. We deal with what the family actually holds in its hands — the papers, the boxes, the files on a hard drive — before any conversation about what to do with them. Our role ends at the point where professional judgment is needed.

The sorting method used across all engagements organises documents by type, then by date, then flags what appears to be absent. This sequence has proven to produce files that solicitors, estate administrators, and financial planners across Selangor can work with without further restructuring. The question sheet produced in a Referral Preparation Session follows the same logic: what is the context, what does the family want to understand, and what evidence does it hold to bring to that conversation.

Nothing in the Almsgate methodology involves valuation, interpretation of legal instruments, advice on any matter requiring a professional licence, or communication in anyone's name. These limits are written into the scope agreement that every family receives before work begins.

Referral Preparation Session

A single structured session in which the family writes the questions it wants to put to a qualified professional and gathers the documents usually brought to such a meeting. The session prepares — it does not advise, and it takes no position on any matter that requires formal guidance.

Courtyard Sorting

Three appointments in which the family's own papers are sorted by type and date, indexed, labelled, and mirrored to storage they control. Purely clerical — no valuation, interpretation, or advice attached to any item.

Four months of monthly work producing an indexed register of the family's documents, a dated chronology drawn from them, provenance notes where the family holds evidence, and a neutral summary written for handover. Documentation only — nothing valued, nothing interpreted, nothing advised, nothing sent in anyone's name.

Written Scope Before Work Begins

Every engagement begins with a scope agreement confirming exactly what will be done, what will not, and what the family will receive at the end.

Documents Logged on Receipt

Every original document received by Almsgate is recorded in a log and returned to the family. Nothing is retained or duplicated without explicit instruction.

No Advice, Ever

When a question requires professional guidance, we say so and note the appropriate type of practitioner. We never attempt to answer questions that belong with a solicitor, accountant, or registered planner.

Your Storage, Not Ours

Digital mirrors go to drives or cloud accounts the family controls. We do not host, store, or retain digital copies beyond the working period of the engagement.

Close-Out Review

Every engagement includes a final review meeting at which the family checks the outputs and signs off. Corrections are made before the file leaves our premises.

Designed for Independence

Every output — the naming convention, the maintenance sheet, the gap list — is designed so the family can work independently once the engagement ends, without requiring Almsgate.
